Outlook Email Signature Generator & Setup Guide

Create a text-and-link signature for Outlook. The editor gives you formatted content to paste; choose the instructions that match your Outlook version.

Free to edit and copy. No signup or API key needed.

The editor starts with fictional example details. Replace them before copying.

Keep your signature

Save one signature to your Ask Quokka account. Saving is optional; copying still works without an account. Your saved copy is private to you.

The exported signature uses a white background. Your email app may adjust its appearance in dark mode.

Use Copy signature for Gmail and Outlook. HTML is for editors that accept source code.

You choose what gets saved.

Building and copying run in your browser. Your details are sent to Ask Quokka only if you explicitly save them to your signed-in account.

Install your signature in Outlook

  1. 1. Build and copy

Replace the fictional details below and choose Copy signature. Paste the formatted result into your version's signature editor.

  2. 2. New Outlook or Outlook on the web

Open Settings, then Accounts and Signatures. Choose the right account, add a named signature, paste it, choose when to include it and save.

  3. 3. Classic Outlook for Windows

Open a new message, then Signature and Signatures. Select the email account, create a signature and paste into Edit signature. Set the new-message and reply defaults, then confirm.

  4. 4. Test a fresh message

Open a new draft after saving. Check links and wrapping with a test email. Verify other devices separately; signatures may need their own setup there.

Setup reference: Microsoft's Outlook signature instructions. Checked 23 October 2026; menus can vary by version.

A complete example

Fictional names, companies and contact details. Replace them before use. This is the same starting example used by the editor.

Use your version's settings

Microsoft's linked guide covers new Outlook, classic Windows Outlook and the web. If your menus differ, use its version selector. These are not Outlook for Mac instructions.

Review the pasted result

Email apps can adjust spacing, fonts and dark-mode colours. Try Compact if you prefer fewer lines, and check the received test message rather than relying only on this preview.

Questions

Will this install the signature automatically?

No. The tool never connects to Outlook. You paste the result into the signature editor and choose your defaults there.

Can I add my logo here?

This editor uses text and links. You can add images using Outlook's own controls after pasting; review the received message for size and appearance.

Why did my new signature not appear in an open draft?

Try a newly composed message after saving, and check the selected sending account and signature defaults. You can also insert the saved signature manually from Outlook's Signature menu.

Building and copying run in this browser tab. Only an explicit account save sends your signature details to AskQuokka. Nothing is installed in your email app automatically.
