Replace the prompts in square brackets. Add notes during the meeting, then confirm decisions, owners and deadlines.

Word .docx opens in Microsoft Word and can be uploaded to Google Docs. .txt is plain text; .md adds Markdown headings. No document is uploaded automatically.

When to use this template

Use meeting minutes to record what happened and what was agreed. Keep enough context to explain a decision without trying to reproduce every sentence. Separate an agreed action from a proposal, and leave unresolved questions visible until someone confirms them.

Make it useful for your meeting

  1. 1. Record who took part

Add the meeting title, date, participants and note-taker. Include the document or agenda reference people need to understand the discussion.

  2. 2. Separate discussion from decisions

Summarise the points that affected the outcome. Record the decision and its reason in their own section. If no decision was made, say what remains open and who will follow up.

  3. 3. Give every action an owner

Write the task, the person responsible and a deadline. Confirm these details with the owner. A vague line such as follow up next week leaves the responsibility unclear.

  4. 4. Review the record with participants

Share the draft through your usual document or team channel. Resolve corrections and record approval where your team requires it. Keep the reviewed copy where participants can find it.

Common questions

Are meeting minutes the same as meeting notes?

Minutes are a record of discussion, decisions and responsibilities that participants can review. Notes can be a working record of observations and questions. Use the minutes outline when others need to rely on the agreed outcome.

Do minutes need to include every word?

This template is designed for a concise record, rather than a transcript. Keep the relevant context, decisions, concerns and actions. Your organisation may have specific record-keeping requirements, especially for formal meetings.

Is there a board meeting minutes template?

Yes. Choose Board meeting minutes in the editor for attendance, declared interests, resolutions, voting and approval prompts. Follow your organisation's governing documents and review the record with the responsible people.

Your document stays in this tab. Copy or download it before leaving. The editor does not record a call, send your notes or save them to an account.
